The following policy guidelines are established to ensure operational clarity, fairness, and a smooth experience for all participants, while safeguarding the interests of both attendees and the organizers.
Personal Responsibility and Safety
All participants, speakers, and attendees are responsible for the safekeeping of their personal belongings while attending the conference.
While reasonable measures are taken to ensure a safe and orderly environment, Cognition Conferences, its organizers, partners, and venue providers shall not be held liable for any loss, theft, or damage to personal property, regardless of the cause.
Insurance Coverage
Conference registration fees do not include insurance of any kind, including but not limited to health, travel, personal accident, or property insurance.
Participants are strongly advised to arrange appropriate insurance coverage at their own discretion prior to attending the event.
Transportation and Parking
All transportation arrangements, including international travel, local commuting, and parking, are the sole responsibility of the registered participant.
Unless explicitly stated in writing, Cognition Conferences does not provide or reimburse transportation or parking services.
Invitation Letter Support
For verification and security purposes, official invitation letters are issued only to fully registered and paid participants.

Invitation letters are issued solely to support visa applications and do not constitute a guarantee of visa approval, which remains entirely at the discretion of the respective immigration authorities.
Registration Changes and Cancellations
All requests for registration cancellation, modification, or correction must be submitted in writing to: contact@cognitionconferences.org
Requests will be reviewed and processed strictly in accordance with the applicable cancellation and refund policy published by Cognition Conferences.
Registration Transfer Policy
Cognition Conferences permits the transfer of fully paid registrations to another eligible individual from the same organization, should the original registrant be unable to attend.
Transfer requests must be submitted in writing by the originally registered participant and must include complete details of the replacement participant (full name, designation, contact number, and email address).
Unless otherwise specified and approved in writing, all registration benefits and conditions shall transfer to the replacement participant.
Cognition Conferences reserves the right to approve or decline transfer requests where necessary.
Visa Information and Responsibility
In light of global security and immigration requirements, participants are advised to apply for their visa well in advance of the conference dates.
Cognition Conferences does not contact embassies or consulates on behalf of participants and assumes no responsibility for visa outcomes.
Participants are responsible for applying under the appropriate visa category, typically a Business Visa, in accordance with local regulations.
Refund Policy
We recognize that unforeseen circumstances may occur. However, due to advance financial commitments related to venue booking, logistics, printing, accommodation, and administrative costs, the following refund policy applies where a participant is unable to attend and cannot transfer their registration:
More than 150 days prior to the conference:
Eligible for a full refund, less a USD 100 administrative and service fee
Between 150 and 90 days prior to the conference:
Eligible for a 50% refund of the registration fee
Within 60 days of the conference: No refund shall be issued
E-Poster registrations are strictly non-refundable under all circumstances
All refunds, where applicable, will be processed using the original method of payment and may be subject to bank or transaction charges.
General Provisions
Cognition Conferences reserves the right to interpret, amend, or update these policies as necessary to ensure compliance with operational, legal, or regulatory requirements.
Continued participation in the conference constitutes acceptance of these policies.
