By registering for or attending the conference, you confirm that you have read, understood, and agreed to comply with the following terms.
Registration
All participants, including attendees, presenters, speakers, and any individuals joining the conference in any capacity, must complete the official registration process through the Cognition Conferences website.
Registration is considered valid and confirmed only after successful payment of the applicable registration fee.
Each participant is responsible for providing accurate, complete, and truthful information during registration.
Any false, misleading, or incomplete information may result in cancellation of registration without refund.
Participation and Professional Conduct
All participants and attendees are expected to maintain professional, respectful, and ethical behavior throughout the conference.
Cognition Conferences reserves the right to deny entry or remove any participant or attendee whose conduct is disruptive, inappropriate, or contrary to the objectives and values of the event.
Unauthorized recording, reproduction, sharing, or distribution of conference content, presentations, or materials is strictly prohibited without prior written approval.
Visa and Travel Responsibilities
Attendees are solely responsible for arranging their own travel, accommodation, and visa requirements.
Official invitation or visa-support letters will be issued only after full payment of the registration fee.
Cognition Conferences shall not be held responsible for visa rejections, travel delays, cancellations, or restrictions imposed by authorities.
Event Modifications
Cognition Conferences reserves the right to make reasonable changes to the conference program, schedule, session timings, speakers, format (in-person, hybrid, or virtual), or venue, if required due to academic, operational, or unforeseen circumstances.
All important updates will be communicated through official email notifications and/or published on the conference website. Participants are advised to regularly check these channels.
To provide broader academic coverage and greater value, Cognition Conferences may merge this conference with other related or complementary conferences, enhancing topic diversity and learning opportunities.
Cancellation and Refund Policy
All cancellation requests must be submitted in writing to: contact@cognitionconferences.org
Refunds will be processed according to the following schedule:
More than 150 days (5 months) before the conference: 80% refund
Between 150 and 90 days (5–3 months) before the conference: 50% refund
Within 60 days (2 months) of the conference: No refund
Bank charges, transaction fees, and administrative costs may be deducted from the refund amount.
No refunds will be issued for no-shows, late arrivals, or partially attended events.
Data Protection and Privacy
Personal data collected during registration and participation will be used only for conference administration, communication, and service improvement.
Cognition Conferences will not share personal data with third parties except when required for event logistics or legal compliance.
Reasonable measures are taken to ensure data confidentiality and security.
Liability Disclaimer
Cognition Conferences shall not be liable for any personal injury, illness, loss, theft, or damage to personal property during or related to the conference.
The organizers are not responsible for losses caused by circumstances beyond their control, including natural disasters, political situations, or government actions.
Refund Policy for Travel and Accommodation Support
This policy applies only to attendees who have received prior written confirmation of travel and/or accommodation support from Cognition Conferences.
Verification of Participation
Reimbursement will be processed only for attendees who physically attend and actively participate in the conference.
Participation verification may include:
On-site registration check-in
Presentation or session participation
Attendance tracking records
Submission of Required Documentation
To initiate reimbursement, attendees must submit all required documents within 14 calendar days after the conference ends.
Mandatory documents include:
Original travel receipts (flight/train tickets and boarding passes) showing attendee name and travel dates
Official accommodation invoices or hotel bills covering the conference period
Any additional supporting documents reasonably requested for verification
Accurate bank or payment details for reimbursement transfer
Incomplete, unclear, or late submissions may result in delay or rejection of reimbursement.
Approval and Processing
All submissions will be reviewed by the organizing committee.
Approved reimbursements will be processed within 30 business days after verification.
Reimbursements are strictly limited to the pre-approved amount communicated in advance.
Expenses not agreed upon or exceeding the approved limit will not be reimbursed.
Non-Attendance
Attendees who do not attend the conference or fail to provide valid documentation will not be eligible for any reimbursement.

By attending the conference, participants acknowledge and accept this refund policy.
No Commercial Trading
Conferences organized by Cognition Conferences are conducted for academic and professional development purposes only.
Registration is strictly personal and non-transferable, valid only for the registered attendee or officially registered group members.
Use of registration for resale, commercial promotion, or unauthorized business activities is prohibited.
All confidential information and materials shared during the conference are subject to confidentiality obligations.
Right to Reserve Admission
Cognition Conferences reserves the absolute right to approve, refuse, or cancel admission of any participant, attendee, group, institution, or organization at any time, without obligation to provide reasons.
Force Majeure
Cognition Conferences shall not be held responsible or liable if the conference is cancelled, postponed, or modified due to force majeure events, including but not limited to:
Natural disasters
War, terrorism, or national emergencies
Political unrest or civil disturbances
Fire, floods, strikes, lockouts, or government restrictions
In such circumstances, Cognition Conferences shall not be financially or otherwise liable, and no claims shall be entertained.
